This policy explains what Cognito Solutions collects through this website, why, how long it is kept, and what you can ask us to do about it. It is written to be read rather than to be impressive. If anything here is unclear, ask and you will get a straight answer.
Cognito Solutions is an independent IT and business technology consultancy based at 145 Monumental Cir, Spanish Springs, NV 89436, serving Reno, Sparks and Northern Nevada. This policy covers cognitosolutions.com. It does not cover separate systems you may be given access to during an engagement, which are governed by the agreement for that work.
What we collect when you contact us
The contact forms on this site ask for your name, email address, an optional phone number, the type of help you need, and a description of the problem. You choose what to put in that description, so please do not include passwords, account numbers, card details, or Social Security numbers in it.
When a form is submitted, two things happen. The message is emailed to us, and a copy is saved on this website as a private record that only an administrator can read. That second copy exists because messages have been lost to mail delivery failures before, and a lost message means somebody who asked for help never got an answer.
Alongside the message itself, the following are recorded to keep the form working and to filter automated spam:
- Your IP address
- The date and time of the submission
- Which page the form was submitted from
- Timing and hidden-field signals used to distinguish people from bots
Text messaging (SMS)
SMS opt-in consent and mobile phone numbers collected for text messaging are never shared with or sold to third parties or affiliates for marketing purposes. No mobile information is sold, rented, or traded to anyone, under any circumstances.
If you tick the text-message box on a contact form, or opt in through the SMS Terms page, your mobile number is used only to send you messages about your own service request — appointment confirmations and reminders, scheduling, updates on work in progress, and replies to questions you send us.
You will not be sent marketing or promotional text messages. Consent to receive texts is never required to contact us, to get a quote, or to buy anything.
Message frequency varies and depends on your active service requests. Message and data rates may apply. Reply STOP to any message to cancel, or HELP for help. Full details are on the SMS Terms page.
A record of your consent is kept — whether you agreed or declined, the exact wording you were shown, and the date, time and IP address. Carriers can require proof of consent, and that record is the proof. It is retained for at least four years, as carrier rules require.
Analytics and cookies
This site uses Google Analytics 4 to understand which pages people find useful. It records things like which pages were viewed, roughly where in the world the visitor is, and what kind of device and browser was used. It does not tell us who you are by name.
Analytics cookies are switched off until you accept them. When you first visit, a banner asks. If you decline, or simply ignore it, analytics storage stays disabled. You can change your mind at any time by clearing this site’s data in your browser, which resets the banner.
Some cookies are strictly necessary and are not covered by that choice — for example, the one that remembers your cookie preference, and the ones WordPress sets if you log in as an administrator.
Security and hosting
This site sits behind Cloudflare, which acts as a proxy and filters malicious traffic. Cloudflare processes your IP address and request details to do that. The site itself runs on a private server, and the web server keeps standard request logs.
Traffic to this site is encrypted with HTTPS. Records containing your details are stored on the server and are not published, indexed, or reachable by search engines.
Who your information is shared with
Your enquiry is not sold, rented, or passed to anyone for marketing. There is no advertising network on this site and no data broker relationship.
The only third parties that necessarily handle any of it are the ones that make the site and its email work: the hosting provider, Cloudflare, the mail provider that delivers form notifications, and Google Analytics for the anonymous usage statistics described above. Each handles only what it needs to perform that function.
Information may also be disclosed where the law requires it, such as a valid legal request.
How long it is kept
- Enquiries — kept for as long as they are useful for supporting you and keeping a record of the work. Ask and they will be deleted.
- Submissions identified as spam — deleted automatically after 30 days.
- SMS consent records — kept at least four years, because carrier rules require proof of consent to be produceable on request.
- Analytics data — retained according to Google Analytics settings, and holds no name or contact details.
What you can ask for
You can ask what is held about you, ask for it to be corrected, or ask for it to be deleted. Email [email protected] or call (775) 823-3333 and it will be handled.
One honest limit: if you ask for an SMS consent record to be deleted, that record is also the evidence of your consent. Deleting it means you will be removed from text messaging as well, since the consent can no longer be demonstrated. That is the correct outcome, but it is worth knowing before you ask.
Children
This site is meant for adults and is not directed at children under 13. Information is not knowingly collected from them. If you believe a child has submitted something here, get in touch and it will be removed.
Changes to this policy
If this policy changes, the date at the top changes with it. Material changes to how information is used will be described here rather than made quietly.
